About The Position

Aqua is looking for an Office & Employee Experience Specialist to join our team. This role will be responsible for managing the day-to-day operations of our office while creating an amazing experience for our employees. The ideal candidate will take the lead on facility management, office management, event management and workplace experience. We are looking for someone with a lot of energy and passion, who loves rolling up their sleeves and driving things forward. This person must be able to work autonomously but also enjoy collaborating & working in a team environment.

This position is based in our Burlington MA office. Only local candidates will be considered.

YOUR ROLE

  • Manage and ensure smooth daily office operations, cleanliness, and appearance of our office.
  • Recreation program including wellness initiatives and community involvement.
  • Maintain accurate roster and headcount for the office and manage a hybrid work environment.
  • Manage all office vendors and suppliers.
  • Create, track, and report the facility, pantry, and employee event budget assuming responsibility for budgeted figures, and continually thinking strategically to reassess areas to reduce costs, increase efficiencies, or drive greater employee benefits.
  • As an extension of HR, collaborate and lead the new hire set-up for a positive, organized Day 1 experience for new employees.
  • Review, approve, reconcile (as needed), and submit vendor, supply, and facilities invoices to accounting for payment.
  • Lead food and beverage program to deliver quality food that our employees are excited about.
  • Assist with the planning and management of company events including US specific all-hands meeting, off-sites, sales kick-off event, training events.
  • Ensure compliance with all building code and safety regulations, including creating and revising company policies as they relate to the physical space and safety programs.
  • Liaise with all other departments to ensure cross-function collaboration and delivery of the best employee experience possible.

Requirements

  • Minimum of 3 years’ experience in a similar role within workplace experience, facilities, and office operations.
  • You will need to enjoy working with people to succeed in this position.
  • Bachelor’s degree in Business Administration or equivalent is highly desired.
  • Ability to ensure strong cultural alignment with the overall organization and foster a sense of pride, ownership, and teamwork within the HR team.
  • Passionate about customer service and excited to go above and beyond for your team.
  • Team player who exhibits a consistent positive attitude and who is not afraid to roll up their sleeves to help get things done.
  • Ability to communicate effectively and professionally, present and interface with all levels of staff and clients.
  • Excellent verbal and written communication skills are a must.
  • Highly organized and detail oriented.
  • Must be a highly motivated self-starter, being able to work independently but also within a team, without daily supervision.
  • Must be a well-organized individual being able to multi-task, self-manage and set priorities to meet deadlines and provide follow-up and feedback on all employee request and business issues.
  • Ability to work well under pressure.
  • Innovative – ability to see the “big picture”, be creative and think outside the box.
  • Demonstrated ability to be mature and trustworthy, proactive, and self-motivated, reliable, adaptable, conscientious, and courteous
